Retrieve deleted email when Exchange Server fails suddenly

Microsoft Outlook is the most preferred email messaging system in these days including business enterprise to basic home usage. Users find it highly feasible as well as user friendly which has significantly increased its use over the years. In course of business or routine homely operations, you may probably accidentally delete some unused but important mails which you may find regretful after sometime. You may also need to delete the emails because of overburden of PST file. Whatever be the factor, in such fatal situations, a complete backup of PST file proves to be a great help. You can easily restore data and retrieve emails from the backup file in order to avoid data loss situations. However, it is possible that backup is not available or not updated, and then you may face some severe data loss.

The good news is that the deleted or lost emails and other objects in Outlook are completely recoverable.

When you delete any item using Shift+ Delete key combinations or empty the ‘Deleted Items’ folder, it does not get permanently removed. You can still retrieve deleted email using some effective methods and tools. When an email is deleted from your system, it remains physically intact. Only the email is deleted from the index of PST file and Outlook cannot locate the file due to missing file pointer.

To understand how to retrieve deleted emails, consider a situation. You are using Outlook with Exchange in cached mode, on another PC, which is currently turned off; this PC will have a complete copy of your Outlook data in a local OST file.

The data will be as much updated as you used Outlook on that PC for last time. You want to make that PC synchronized with Exchange so delete the items from the cache and make your internet connection off. When you open Outlook on this PC, while it is offline, you can still find all missing emails there. You can copy those items to a local PST file by following these steps:

1.From within Outlook, click File – New – Outlook Data File

2.Select Outlook Office Personal Folders File then click OK

3.Click OK then OK to accept the default location and name of the new PST file.

You’ll now see a new set of folders in Outlook called Personal Folders.

You can drag-and-drop all the items you want to view from the mail folders, contacts, calendar etc. in the Exchange folders to the equivalent place in Personal Folders. After copying the items, you can safely re- enable your internet connection and allow Outlook to synchronize with Exchange. The next thing that you need to do is to copy the items back into your Exchange folders that you have saved to Personal Folders. Exchange will treat them as valid new items and copy them back to your mailbox on the server as well as to the local caches on the computers where you use Outlook. When you complete the operation, right click on Personal Folders and select Close “Personal Folders”.

When such accidental email deletion or sudden data loss occur, you can recover them by restoring cache as cache acts as the insurance against failure of Exchange Server. But when real problem occurs, you are left with no option other than using third party tools.
